Position Summary:

We are seeking a highly organized and detail-oriented Executive Assistant to join our team. In this role, you will manage schedules, coordinate meetings, handle communications, and assist with documentation and process tracking. The ideal candidate uses discretion, is proactive, tech-savvy, and thrives in a fast-paced startup environment.


Key Responsibilities:

  1. Manage calendars, schedule meetings, and coordinate travel logistics
  2. Coordinate meetings and events, including venues, catering, supplies, room setup
  3. Prepare and edit correspondence, reports, and presentations
  4. Attend designated executive, leadership and operational meetings
  5. Maintain accurate, organized records of key discussions, decisions, action-items and follow-up requirements
  6. Follow executive direction regarding sensitive or confidential discussions
  7. Maintain digital filing systems and ensure documents are up to date
  8. Manage office supply inventory, restocking, and organizing materials for the team
  9. Assist with onboarding and administrative processes for new team members
  10. Build administrative processes and/or improve existing workflows
  11. Serve as a point of contact for general inquiries and internal support
  12. Perform other administrative duties as assigned

Qualifications:

  1. 5 years of administrative, executive support or comparable professional experience
  2. Experience directly supporting executives preferred
  3. Experience managing confidential healthcare or financial information (HIPAA awareness)
  4. Exceptional organizational and time-management skills with the ability to manage and properly prioritize multiple competing demands
  5. Excellent written and verbal communication skills
  6. Strong proficiency in Microsoft Office, Docusign, and virtual meeting tools
  7. Strong technical aptitude with the ability to quickly learn new software and tools
  8. Comfortable working independently
  9. Highly responsive and works with a sense of urgency
